General Guidelines
Once an employee has received authorization to travel, if a registration fee is required, the following options for payment of the registration fee are available.
The preferred method of payment is for the department to pay the registration fee utilizing a p-card.
- If payment with a p-card is not accepted by the organization, an ePro requisition should be entered in the Peoplesoft system. A copy of the registration form must be submitted to the Accounting Services Office. Adequate time for processing of the registration fee should be included in the employee’s travel planning process.
- If payment with a p-card is not accepted by the organization, the registration fee can be prepaid by the employee. The employee would then seek reimbursement utilizing the expense module. A receipt will be required to obtain reimbursement. The employee should ensure that the meeting is an authorized business purpose prior to making any payments personally.
After attending the meeting/conference, the employee should include the registration as a prepaid expense on the travel expense statement for the trip. A receipt should be included with the travel expense statement.
